We are seeking a highly organized and detail-oriented Office Administrator/Cust Support Associate to join our team. The ideal candidate will be responsible for managing office operations, providing administrative support, and ensuring efficient communication within the office. This role is essential in maintaining a productive work environment and supporting the overall goals of the organization.

Key Responsibilities:

  • Oversee Office Operations: Manage the daily activities of the office.
  • Welcome Visitors and Clients: Greet and assist guests as they arrive.
  • Ensure a Safe and Clean Environment: Maintain a tidy and safe workplace.
  • Coordinate Lunch Orders: Manage lunch arrangements with the caterer, including food setup, storage of leftovers, and post-lunch cleanup.
  • Track Employee Birthdays: Maintain a list of employee birthdays and organize celebrations.
  • Support Office Activities: Assist in coordinating office events and schedule maintenance as needed.
  • Manage Appointments and Meetings: Help schedule appointments and meetings, optimizing calendars for efficiency.
  • Arrange Travel and Accommodations: Coordinate travel plans and lodging for staff members as required.
  • Provide Administrative Support: Assist with meeting preparations and file management tasks.
  • Organize Company Events: Help plan logistics for company events, meetings, and conferences, including materials preparation and setup.
  • Oversee Communication Services: Manage telephone services, email correspondence, and the distribution of mail and shipments.
  • Maintain Equipment: Monitor and manage office equipment, reporting any maintenance or repair needs promptly.
  • Manage Office Supplies: Track inventory, place orders, and ensure essential supplies are always available.
  • Assist with Data Entry: Support data entry tasks, updating spreadsheets and databases as necessary.
  • Maintain Filing Systems: Organize and update both paper and electronic filing systems, ensuring documents are labeled and easily retrievable.
  • Provide General Administrative Support: Assist various departments as needed.
  • Customer Support: Provide timely and efficient assistance to customers via phone, email, and WeChat, ensuring their issues are promptly resolved and inquiries addressed.
  • Issue Coordination: Work closely with internal data and IT teams to analyze and resolve customer issues, ensuring smooth communication and quick resolution.
  • Interdepartmental Collaboration: Communicate with relevant teams based on the customer’s request, ensuring accurate information is relayed, providing next steps, and delivering timely updates to customers.
  • Record Keeping: Maintain comprehensive and accurate records of customer interactions, issues, resolutions, and ongoing tasks using task management tools.
  • Customer Claims: Collaborate with the data management team to resolve customer disputes involving unused labels, lost packages, and missing items. Initiate USPS BSN requests and follow up with USPS to ensure resolution.
  • Support Documentation: Help create and improve support materials, such as SOPs, FAQs, and user guides, to empower customers and enhance the self-service experience.
  • Feedback Gathering: Serve as the customer’s voice by collecting and documenting feedback, feature requests, and suggestions to support continuous product improvement.

Requirements:

  • 1 year of experience in office administration
  • Customer-centric mindset is a MUST. Customer-focused mindset with an unwavering commitment to delivering exceptional service.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent communication skills, both written and verbal, and the ability to engage with customers and internal teams professionally.
  • Ability to thrive in both independent and collaborative work environments, especially in a fast-paced setting.
  • Strong technical problem-solving skills with the ability to diagnose and resolve issues effectively.

Jr Sales/Business Development Representative

We are seeking a motivated and dynamic individual to join our sales team as a Jr Sales/Business Development Representative. In this role, you will be responsible for generating leads, engaging with potential clients, and identifying new business opportunities. Working closely with senior sales and marketing teams, you will support the sales process, learn the sales cycle, and help build the company’s pipeline for future growth. This position offers the opportunity to gain valuable industry knowledge and develop skills in prospecting and closing deals.

Key Responsibilities:

  • Prospect and qualify leads: Identify and qualify leads through cold calling, email campaigns, social media, and market research. Generate, customize, and send direct messages and targeted email campaigns to generate interest.
  • Cold calling: Initiate conversations with potential customers via phone, email, and virtual channels, introducing the company’s products and services and assess their needs.
  • Converting leads to appointments: Nurture leads from marketing and selling efforts, move leads through the sales channels and set appointments for the senior sales team.
  • Record Keeping: Maintain accurate records of all activities in the company’s CRM system.
  • Reporting: Assist senior sales team with reoccurring and ad hoc reports.
  • Events and Tradeshows: Attend industry events and tradeshows, research and collect information to identify new business opportunities and stay informed on industry trends
  • Collaboration: Establish and maintain working relationships across all internal departments as well as outside vendors.
  • Quota: Meet or exceed monthly and quarterly sales targets

Requirements:

  • 1-2 years of experience in sales or business development, preferably inside sales
  • Strong verbal and written communication skills, with the ability to build rapport and engage prospects
  • Experience in cold calling, lead generation, and sales pipeline management
  • Familiarity in CRM software (e.g., Salesforce, HubSpot) and email marketing tools
  • Proficient in MS Suites and Google Docs
  • Excellent time management, organizational skills, and ability to multitask
  • Self-motivated, proactive, and driven to achieve and exceed sales targets
  • Ability to work in a fast-paced, dynamic environment and adapt to changes

Preferred Qualifications:

  • Experience in B2B sales, preferably in the technology or SaaS industry
  • Familiarity with sales automation tools like Salesforce, HubSpot, or similar platforms
  • Understanding of sales methodologies such as SPIN Selling or Solution Selling
  • Bachelor’s degree in business, marketing, or a related field
